WHAT TO EXPECT

In order to make your participation at Travelweek Sao Paulo the most pleasant and productive, we kindly ask your attention to the following: Travelweek Sao Paulo hosts Exhibitors, VIP Buyers and Selected Press during the week of the event. We believe this is an exceptional occasion for doing business with the world’s most prestigious travel professionals, to form networks and relationships, and to exchange knowledge. The schedule is intense and requires a lot of vigor, but it all takes place in very enjoyable and inspirational venues – The Bienal Pavilion, Palácio Tangará and Rooftop5.

 

The Opening Ceremony and Welcome Cocktail aims to inspire, inform and amuse our guests and propel them to share and exchange insights of their travel experiences.  Aligned with ILTM culture, it will be a B2B event designed to foster the exchange of ideas and help strengthen professional networks. In 2017, it will take place outside the Bienal Pavilion – at the brand new Palácio Tangará.

REGISTRATION

Registration desk will be open at Bienal Pavilion on April 25th, Tuesday, from 9am to 3pm. If you have material delivery or prefer to avoid lines, you can collect your badge and event bag on this period.

 

Shuttles will be available from Bienal Pavilion to Hotel Palácio Tangará, departing at 3pm.

 

Registration will also be available at Hotel Palácio Tangará, in case you wish to proceed direct to event Opening Ceremony, on April 25th, Tuesday, from 3pm to 6pm. Badge collect only.

 

Kindly note that for security reasons, as the Hotel will be opened only for Travelweek Opening, the access will be restricted to badge holder guests. There will be a list at the gate to control access. Make sure your name is correctly registered to attend the event.

 

Registration will be available during entire show duration on April 26th, 27th and 28th from 8am to 6pm.

 

Guests that collect badges at Hotel Palácio Tangará on April 25th will be able to collect their show bags on a fast track entrance at Bienal Pavilion.

SHUTTLES

Hotel/venue/hotel shuttles are offered twice a day on complimentary basis, please see full timetable here.

EXTRA BADGES: Exhibitors

Available for sale to official employees of Exhibiting companies only. Up to April 15th: USD 1,000 upon request. From April 16th: USD 1,150 at the venue only (Accreditation Desk).

DAY PASS

Available for sale to official employees of Exhibiting companies only. Up to April 15th: USD 450 upon request. From April 16th: USD 600 at the venue only (Accreditation Desk).

WORKSTATION CABINETS: Exhibitors

Cabinets with keys are provided to Exhibitors. In case of missing keys, new ones are to be requested on-site, at the venue’s Business Center. A fee of USD 25 applies.

MISSING BADGES: Exhibitors & VIP Buyers

Reissues are available for Exhibitors and VIP Buyers at the venue’s Accreditation Desk. A fee of USD 25 applies. The reissue of a new badge automatically cancels the original one’s access.

EXHIBITORS TECHINICAL INFORMATION

WORKSTATION

Each exhibitor workstation includes:

 

  • 1 image panel;
  • 1 table and 4 chairs;
  • 1 wastebasket;
  • 2 electric sockets (110V);
  • Carpet, lighting, walls;
  • 1 cabinet with a lock for personal and commercial material storage. In case of loss of keys, new ones should be requested at the venue’s Business Centre. A fee of USD 25 applies.

DMC TABLES

The DMC´s tables are placed on the aisles, near each corresponding Destination Section.
There is no energy outlet available on the aisles, where DMC tables are located. Make sure to bring your electronic devices fully charged, plus extra batteries and cables.

 

Each DMC tables includes:

 

  • 1 double-sided signage;
  • 1 table and 4 chairs;
  • 1 wastebasket;
  • 1 small cabinet with a lock for personal and commercial material storage. In case of missing keys, new ones are to be requested at the venue’s Business Centre. A fee of USD 25 applies.

NOTE ABOUT PLUGS, CONVERTERS AND ADAPTORS

The venue offers only the Brazilian plug (110V). It is the exhibitor’s responsibility to bring plug adaptors to allow them to plug their appliances into a Brazilian socket, and an electric converter to convert voltages, if needed.

NOTE ABOUT SECURITY

Travelweek Sao Paulo has a special security arrangement during the entire event. Nevertheless, we highly recommend not leaving valuable belongings or electronic devices overnight in the cabinet, even if locked. Please do not leave your personal devices or handbags unattended.

 

Travelweek Sao Paulo takes no responsibility for personal or valuable items left in the workstations.

VERY IMPORTANT

Travelweek Sao Paulo provides complete workstation infrastructure to the exhibitors and additional decoration or ornamental items (such as tablecloths, banners, rugs, flowers, stuffed animals, dolls, candles, frames, posters and general supplier amenities) are not permitted.

IMPORTANT NOTE

Travelweek does not organize any exhibitor accommodation and does not share exhibitors data with any outsourced company.

 

If you receive a third party contact regarding your accommodation, be aware it may be fraudulent companies taking advantage of the event proximity.

 

We advise you not to share personal or credit card information with non reliable companies.

 

If you are a Buyer, your accommodation information will be provided exclusively by our office team.
